1. Overview

Core Stage LLC ("Core Stage", "we", "us", "our") is a Florida-based company that operates a match management platform for competitive shooting sports. This Privacy Policy explains what information we collect from shooters, match organizers, range officers, administrators, club operators, and visitors (collectively, "users", "you"), how we use that information, who we share it with, and the choices available to you. By creating an account, registering for a match, purchasing through our marketplace, or otherwise using the platform, you acknowledge and agree to the practices described here.

Core Stage is a U.S.-based service. If you access the platform from outside the United States, you understand that your information will be transferred to, stored in, and processed in the United States.

2. Information we collect

  • Account data: name, email, password hash, role, club affiliation, certifications, USPSA/IDPA/SCSA/PRS membership numbers, division, classification, profile photo, and date of birth where required for age-restricted matches.
  • Match & performance data: registrations, squads, stage scores, times, hits, penalties, DQs, disciplines competed in, classifications earned, and historical results.
  • Payment data: billing name, billing address, last 4 digits of payment card, transaction history, and payout details for organizers. Full card numbers are handled by our processor (Stripe) and never touch our servers.
  • Identity & safety data: signed waivers, waiver version and timestamp, incident reports, and any background-check or membership-verification responses returned to us.
  • Communications: support tickets, chat with the in-app AI assistant, emails you send us, and notification preferences.
  • Device & usage data: IP address, device type, browser, operating system, referring URLs, pages viewed, time spent, click events, search queries, and approximate location derived from IP.
  • Cookies & similar technologies: session cookies, authentication tokens, analytics identifiers, and third-party advertising or measurement pixels.

3. How we use your information

We use the information we collect to:

  • operate, maintain, secure, and improve the Core Stage platform;
  • process registrations, payments, refunds, payouts, and marketplace transactions;
  • deliver match results, leaderboards, classifications, and notifications;
  • enforce safety, waiver, and disqualification rules and investigate incidents;
  • provide customer support and respond to your inquiries (including via the in-app AI assistant);
  • detect, prevent, and respond to fraud, abuse, cheating, and unauthorized access;
  • comply with legal obligations and enforce our Terms of Service.

4. Marketing, research, and analytics use

You acknowledge and agree that Core Stage may use your data — including account, match, performance, purchase, and usage data — for marketing, product research, analytics, benchmarking, and editorial purposes. Specifically, we may:

  • send you promotional emails, push notifications, and in-app messages about Core Stage features, matches, store products, sponsor offers, partner products, and industry news;
  • build aggregated and de-identified datasets about participation rates, shooter demographics, regional growth, division/classification trends, ammo usage, equipment preferences, and competitive performance, and publish, license, sell, or otherwise commercialize those datasets;
  • use your information to conduct internal and third-party studies, including academic and industry research, market sizing, and trend forecasting;
  • personalize the platform, including matches recommended to you, store products surfaced, and sponsor content shown;
  • serve and measure first-party and third-party advertising, including advertising on other websites and platforms;
  • feature shooter profiles, match results, photos, and highlights in marketing materials, social media, sponsor communications, and press.

You may opt out of promotional email at any time using the unsubscribe link in any marketing message, or by emailing privacy@corestage.app. Opting out of promotional email does not opt you out of transactional messages (receipts, match updates, safety notices) or out of the aggregated research and analytics uses described above.

5. How we share information

Core Stage may share your information with third parties, including for commercial purposes. Categories of recipients include:

  • Match organizers and clubs whose matches you register for — they receive your registration, division, classification, squad assignment, waiver acknowledgment, contact information, and scores.
  • Range officers and staff working a match you compete in — they receive squad rosters, scores, and safety notes.
  • Sanctioning bodies (such as USPSA, IDPA, SCSA, PRS) — we may transmit classification, membership, and match-result data to these organizations.
  • Sponsors, advertisers, and marketing partners — we may share aggregated, de-identified, or in some cases identifiable data (such as audience segments and contact lists) with sponsors and partners for advertising, prize fulfillment, and joint promotions.
  • Research and analytics partners — academic institutions, industry analysts, and commercial researchers may receive aggregated or de-identified datasets, and where appropriate identifiable data, for studies about competitive shooting and the firearms industry.
  • Service providers we rely on to run the platform — including hosting, payments (Stripe), email and SMS delivery, analytics, customer support tooling, AI inference providers, and fraud prevention vendors.
  • Corporate transactions — if Core Stage is involved in a merger, acquisition, financing, reorganization, bankruptcy, or sale of assets, your information may be transferred as part of that transaction.
  • Legal and safety — we may disclose information to law enforcement, regulators, courts, or other third parties when we believe in good faith that disclosure is required by law, necessary to protect rights, property, or safety, or to investigate violations of our Terms.

We do not sell government-issued ID numbers or payment card numbers. Other categories of personal information described above may be shared, licensed, or otherwise transferred to third parties for commercial purposes as set out in this section, which may constitute a "sale" or "sharing" of personal information under certain state laws (see Section 9).

6. Public profile and match results

Competitive shooting is inherently public. Your display name, club, division, classification, and match results may appear on public leaderboards, match pages, shooter profiles, archives, and embeds, and may be indexed by search engines. Photos and video captured at matches — including by Core Stage, organizers, or other attendees — may also appear publicly. If you do not want your results published publicly, do not enter public matches on the platform.

7. AI assistant and automated processing

The in-app help assistant and other AI features process your prompts and context to generate responses. Prompts and context may be transmitted to third-party AI providers (including Google and OpenAI) under contracts that prohibit training on your data without our authorization, except where you opt into a feature that explicitly says otherwise. Do not submit sensitive personal information you would not want a vendor to process.

8. Data retention

We retain account, match, payment, and waiver records for as long as your account is active and for a period afterward to satisfy legal, tax, audit, dispute-resolution, and safety obligations. Aggregated and de-identified data derived from your activity may be retained indefinitely. You may request deletion of your account as described in Section 9, subject to records we are legally required or contractually obligated to keep.

9. Your rights and choices

Depending on where you live (including under the California Consumer Privacy Act / CPRA, Virginia CDPA, Colorado CPA, and similar state laws), you may have rights to:

  • request access to, correction of, or deletion of your personal information;
  • request a portable copy of your data;
  • opt out of the sale or sharing of personal information and of targeted advertising;
  • limit the use of certain sensitive personal information;
  • appeal a denied request.

To exercise these rights, email privacy@corestage.app from the address associated with your account. We will verify your identity before fulfilling requests. We will not discriminate against you for exercising these rights.

You may also adjust notification, marketing, and analytics preferences in your account settings, and disable cookies through your browser controls. Some features of the platform may not function correctly without cookies.

10. Security

We use industry-standard technical and organizational measures — including encryption in transit, encryption at rest, role-based access control, audit logging, and regular security review — to protect your information. No system is perfectly secure; we cannot guarantee absolute security. If we learn of a security incident that materially affects your data, we will notify you as required by law.

11. Children

Core Stage is not directed to children under 13. Minors between 13 and 18 may use the platform only with the involvement and consent of a parent or legal guardian, who must co-sign applicable waivers. If you believe a child under 13 has provided us personal information, contact us at privacy@corestage.app and we will delete it.

12. Changes to this policy

We may update this Privacy Policy from time to time. When we do, we will revise the "Last updated" date above and, for material changes, provide additional notice (for example, an in-app banner or email). Your continued use of the platform after the effective date constitutes acceptance of the updated policy.
